SAM is a not-for-profit arts management service organization offering mentorship, management, administration, and other resources to artists and arts organizations in Nova Scotia at affordable, subsidized rates. We are seeking a recent graduate of one of Nova Scotia’s post secondary programs to join our team in the role of Administrator & Bookkeeper.

The Administrator portion of the work involves general administration for SAM and one of our clients (email, phone calls, filing, mail sending/retrieving); internal and external communications (website maintenance and updating, liaising with client board members and external audiences); promotions and publicity (press release writing and distribution, advertisement purchasing, media liaising); graphic design and simple video production (event posters, finalists video creation, presentations for events); confidential awards intake and management (data entry, online file management, distribution of hard-copy materials); event planning and management (venue booking, guest list coordination, preparation of event assets); funding and grant request writing (employment grants, sponsor package creation, donation campaign support); and other duties as may be assigned.
The Bookkeeper aspect of the position involves bookkeeping tasks for several of SAM’s clients. This includes but is not limited to: liaising with clients to develop reliable and mutually convenient methods of financial data exchange, general ledger entries, payroll, routine reporting, cheque preparation, and year-end reports. The Administrator & Bookkeeper also prepares a small activity summary as part of the staff report for the bi-monthly SAM Board of Directors meetings.

The ideal person for this job is: flexible, a strong independent worker, able to manage multiple priorities, have good communication and relation-building skills, be detail oriented, computer literate, be able to maintain confidentiality and have an understanding of bookkeeping and accounting terms and of activities in the performing arts. The candidate should also be familiar with accounting software such as QuickBooks and/or Sage 50 (Simply Accounting), particularly the online versions and the Microsoft Office suite. Additionally, skills in Adobe Acrobat, InDesign, Premiere Pro and Audition would be considered an asset but are not required. We are prepared to do some training for this position.
