Description
Atlantic Provinces Association of Landscape Architects (APALA) is the professional association of Landscape
Architects in Atlantic Canada and a component association of the Canadian Society of Landscape Architects.
APALA promotes the responsible practice of landscape architecture in the region, fosters the good conduct
and continuing development of our members, and advocates for the intelligent accommodation of human
needs in the outdoor environment.
APALA is currently recruiting for a contract position of a part-time Executive Assistant (hours vary and can range
between 10-30 hours per month). In this key role, you will provide administrative support to the APALA Board
of Directors and project a professional image to the business community and the general public.


Responsibilities
? Be available to attend, and prepare for, monthly Board meetings (call for agenda items, prepare agenda
and material, circulate to the Board, attend meeting, take notes, prepare minutes, follow up on action
items).
? Be available to attend (within the Maritime Provinces), and prepare for, Annual Meetings
(location/platform, date and time, program, notice to members, agenda and material, circulation to
members, attend meeting, take notes, prepare minutes, follow up on action items).
? Monitor email daily – respond to requests, forward to appropriate Board members when needed.
? Various administrative duties such as drafting correspondence, emails, etc. on behalf of APALA and Board
members, assisting with special projects such as annual scholarships, awards of excellence, design
competition.
? Prepare and circulate Newsblasts for members as needed via Mailchimp (2-4 per month). Share contents
on social media platforms and website.
? Update website on a regular basis (member information, event updates, project information, etc.).
? Prepare and circulate annual member invoices, receive payments via cheque and e-transfer, prepare and
send receipts, follow-up on unpaid invoices, prepare and complete bank deposits.
? Assist with membership application process – receive applications, ensure they are complete, forward
to Membership Committee, prepare response letters, add new members to various lists and accounts.
? Check mail at the Akerley Blvd, Dartmouth NS Canada Post location on a weekly basis.

Skills
THE SUCCESSFUL CANDIDATE MUST:
? Attend to Association business as required during, and outside of, normal business hours.
? Have strong communication skills through general correspondence, social media, emails, minutes and
the creation of various documents.
? Have at least two years’ experience in an administrative role.
IT WOULD BE BENEFICIAL TO HAVE:
? Working knowledge of accounting systems (i.e. Quickbooks)
? Working knowledge of Mailchimp
? Working knowledge of Wordpress
? Bilingualism

Other Information
Due to the virtual structure of the organization and requirements of the position, the successful contractor will
have their own tools and equipment in a home office setting (including access to a computer/laptop with reliable
internet access, a printer and scanner) and be responsible to track their time and bill it accordingly in a detailed
invoice, to be provided to the President and Secretary-Treasurer on an initial monthly basis.
An initial one-year contract will be offered to the successful contractor, followed by a performance review and
possibility of extension.
Anticipated start date is June 1, 2021.
