Responsibilities
Reporting to the Director, Admissions and Enrolment Services, the Admissions Assistant is responsible for assisting with the efficient operation of the admissions and reception functions in the Office of Admissions. This includes providing accurate information about admissions requirements and procedures to prospective students and updates to applicants on the status of their application throughout the admissions process. The primary function is to help receive and process a high volume of student application materials and aid in the preparation of application files for adjudication.
• Answers questions regarding: admission criteria and deadlines, academic programs, and general enquiries. Refers prospective students to Recruitment staff, Director, and/or Faculty for meetings as appropriate. Distributes application/informational packages individually and to groups, updates contact records and helps maintain automatic correspondence protocols through a CRM.
• Assists with the application and admission process, including dissemination of information, receiving application materials and fees, ongoing correspondence with applicants throughout the application process, data entry, preparation of applications for admission review meetings and requisite follow-up. Updates content on the Admissions Portal and on relevant pages of the NSCAD website as directed.
• Assists with the creation and maintenance of paper and digital records for applicants and students using ezRecruit CRM/application and Elucian Colleague.
• Collects application and commitment fees for reconciliation and submission of daily deposits to the Office of Finance.
• Assists the Coordinator, Admissions with the preparation and distribution of offers of admission and rejection letters approved by the Director.
• Assists in the coordination of on- and off-campus events related to admissions and recruitment.
• Assists with NSCAD Tours, including monitoring the online tour booking system.
• Reception, responding to inquiries, appointments, screening mail, telephone messages, and faxes.
• Prepares correspondence, and other materials using word processing, spreadsheet and database applications.
• Provides general office support as needed.


Skills

• Bachelor’s degree required and at least two (2) years of related experience (preferably in an academic setting).
• Proficiency in the use of Microsoft Office. Experience using the administrative functions of a student information system (Colleague, Banner, Datatel, PeopleSoft, etc.) or similar enterprise database system, and experience in the use of a CRM is an asset.
• Excellent organizational skills, ability to work independently, meet deadlines and provide information accurately and quickly upon request.
• Excellent interpersonal skills, ability to work effectively in cooperation with colleagues in a team environment.
• Excellent communication skills, ability to respond to inquiries from prospective students and the general public, both verbally and in writing.
• Ability to engage with a wide range of people with active listening, empathy, diplomacy, discretion and tact.
• This position deals with private and confidential information and material, and the incumbent must be familiar with relevant privacy legislation.
